BEAVERS BEND LUXURY CABIN RENTALS

Vacation Rental Agreement

By signing this Agreement and completing your reservation, you agree to comply with the following terms and conditions. This Agreement is legally binding and applies to all guests occupying the property during your stay.

Reservation Requirements

• The primary guest must be 25 years of age or older.

• The guest signing this agreement is responsible for the reservation, all occupants, and any visitors.

• A valid government-issued photo ID is required for the reservation holder and any person whose payment method is used.

• A valid credit card must remain on file throughout the reservation.

• Reservations are not confirmed until all required payments, documentation, and this signed agreement have been received.

Payments & Cancellation

Direct Bookings

• A 50% non-refundable deposit is required at the time of booking.

• The remaining balance is automatically charged 30 days before arrival.

• Within 30 days of arrival, the reservation becomes non-refundable.

Airbnb & VRBO Reservations

Reservations made through Airbnb or VRBO are governed by the cancellation policy selected for that booking platform.

We strongly recommend purchasing travel insurance for all reservations.

Weather, road closures, utility outages, internet outages, maintenance delays caused by weather or third-party vendors, or conditions outside our control are not grounds for refunds.

Check-In & Check-Out

Check-In: 3:00 PM CST

Check-Out: 10:00 AM CST

Early check-in and late check-out may be available for an additional fee if approved in advance and scheduling permits.

Unauthorized early arrivals or late departures may result in additional charges up to one night's rental.

Occupancy & House Rules

To ensure a safe and enjoyable stay for everyone:

• Registered guests only.

• No parties, weddings, receptions, or events.

• Quiet hours are 11:00 PM – 6:00 AM.

• No fireworks.

• No firearms.

• No illegal drugs.

• No smoking or vaping inside the cabin.

• No RVs or campers without prior written approval.

• Please respect neighboring properties.

Failure to follow these rules may result in immediate termination of your stay without refund.

Property Care

Please treat the cabin as you would your own home.

Guests are responsible for:

• Keeping the property reasonably clean.

• Locking doors and windows upon departure.

• Reporting maintenance concerns immediately.

• Using appliances and amenities as intended.

Furniture should not be moved without permission.

Do not disconnect televisions, electronics, or networking equipment. Service calls caused by guest tampering may result in additional charges.

Hot Tub & Amenities

If your cabin includes a hot tub:

• Shower before use whenever possible.

• No glass in or around the hot tub.

• No soaps, oils, bath bombs, or chemicals.

• Children must be supervised at all times.

• Use at your own risk.

Guests are responsible for damage caused by misuse.

Additional cleaning fees may apply if the hot tub requires excessive cleaning due to guest use.

Fireplace

If your cabin has a gas fireplace:

• Follow all posted operating instructions.

• Do not burn wood, paper, or other materials.

• Fireplaces may be seasonally unavailable.

Guests are responsible for damages resulting from misuse.

Pets

Pets are permitted only in designated pet-friendly cabins and must be disclosed before arrival.

Maximum of two dogs (25 lbs. each unless otherwise approved).

Pet fees apply.

Guests are responsible for all pet-related damages, excessive cleaning, stains, odors, pet hair, or waste removal.

Unauthorized pets may result in a minimum $200 fee and possible removal from the property.

Service animals are welcome in accordance with applicable law.

Smoking

Smoking, vaping, marijuana, and illegal drug use are prohibited inside all cabins.

Evidence of indoor smoking or vaping will result in a minimum $500 cleaning fee, plus any additional remediation costs.

Dispose of cigarette butts properly using the provided receptacles.

Damages & Additional Charges

The registered guest accepts responsibility for any damage caused by themselves or members of their party.

Additional charges may include, but are not limited to:

• Property damage

• Missing items

• Excessive cleaning

• Unauthorized pets

• Smoking remediation

• Furniture relocation damage

• Hot tub misuse

• Excessive trash

• Hazardous waste cleanup

• Lost linens or towels

Photographs and inspection reports may be used to document damages.

The credit card on file may be charged for verified damages, missing items, cleaning, or unpaid balances.

Maintenance

Although every cabin is inspected before arrival, unexpected maintenance issues may occasionally occur.

Please notify us immediately if a problem arises.

While we will make every reasonable effort to resolve issues promptly, delays caused by weather, traffic, utility providers, manufacturers, contractors, or other third parties are outside our control and do not constitute grounds for refunds.

Internet & Utilities

Complimentary Wi-Fi is provided where available.

Because cabins are located in rural areas, internet speeds and reliability may vary.

Interruptions to internet, television, electricity, water, or other utilities that are beyond our control do not qualify for refunds.

Lost & Found

Items left behind will be held for a limited time.

If requested, items may be returned at the guest's expense, including applicable shipping and handling charges.

Unclaimed items may be discarded or donated after the holding period.

Liability

Guests acknowledge that use of the property, hot tubs, fireplaces, decks, stairs, recreational equipment, and surrounding outdoor areas involves inherent risks.

Beavers Bend Luxury Cabin Rentals, its property owners, employees, and agents shall not be liable for accidents, injuries, illness, theft, loss of personal property, or damages arising from the guest's use of the property except where prohibited by law.

Guests accept responsibility for the conduct and safety of all members of their party.

Right to Refuse Service

Management reserves the right to refuse service, cancel reservations, or terminate occupancy without refund for violations of this Agreement, illegal activity, excessive noise, property damage, unsafe behavior, or misrepresentation during booking.

Governing Law

This Agreement shall be governed by the laws of the State of Oklahoma.

If any provision of this Agreement is determined to be unenforceable, the remaining provisions shall remain in full force and effect.
