Guest Policies
CHECK-IN (3:00 PM) CHECK-OUT (11:00 AM)
Check-in is at 3:00 PM. Please do not attempt to check- in earlier than 3:00 PM. Checkout is at 11:00 AM. and our check out procedures are very simple, we ask that you place dishes in the dishwasher, trash in the receptacle, turn the thermostat to 55 Deg in Winter and 82 Deg in Summer and then make sure the cabin is secure before departing. Please respect check out time, as we need the time to prepare the cabin for the next guest arrival. Please Note - In observation of these two national holidays, no reservations will be scheduled for arrival on: THANKSGIVING DAY (NOV. 26) & CHRISTMAS DAY (DEC. 25). Any accident or damage to personal property while at a cabin must be reported within 24 hours of occurrence.
CANCELLATION AND CHANGES
Beavers Bend Luxury Cabin Rental has one of the most guest-friendly Reservation Policies in the area. There is a $50 non-refundable booking fee for each reservation. Only the guest named on the rental agreement may cancel or make changes to a reservation. Any change to a reservation after a cabin has been reserved up to the 14th day prior of arrival will result in a $25.00 change reservation fee. You may cancel your reservation on or before the 14th day from the date of arrival. After the 14 day of arrival the remainder of the balance due will be charged to the card on file
Any cancellations requested before the fourteen days prior to arrival can be emailed to elizabeth@beaversbendcabin4rent.com. Any other cancellation requests must be requested by phone 580-212-0910..
DAMAGES AND EXCESSIVE CLEANING
Please limit occupancy to the cabin maximum and adhere to pet and smoking preferences of the cabin (ALL CABINS ARE NON-SMOKING UNITS). You must be an adult (21 or over) to rent a cabin on our program. In the event of damages or extra cleaning requirements, additional charges may be applied to the card on file. Linens and towels are provided based on the size of the cabin reserved, along with basic kitchenware and utensils. A starter supply only of soap, dishwashing detergent, toilet paper, trash bags, and paper towels will be provided. Upon arrival, please report any damages, shortage of supplies, or housekeeping issues immediately. Please review the cabin binder and abide by hot tub procedures, rules, and precautions. Guest will be responsible for all intentional or reckless damages, and the credit card on file will be charged. Guest also authorizes agent to charge any expenses relating to intentional or reckless damage, cleaning of the unit beyond a normal cabin clean (EX: heavy partying, trash, etc.), or theft of any property from the unit, to the credit card on file for that cabin. The guest who uses their credit card for the deposit is considered the responsible party, and all necessary charges concerning said cabin will be charged to the card on file, no matter who in the group caused the damage
OCCUPANCY & AMENITIES
We will do everything we can to make sure your cabin is ready for your stay. It is our mission to provide you the cleanest cabin in Beavers Bend so that you will become a guest for a lifetime. In addition, from time to time, appliances, hot tubs, satellite TV, water, telephone, internet access, electricity, etc. may malfunction. While we cannot refund any monies due to these issues that may be beyond our control, we will respond as quickly as we can to make repairs and restore amenities. Because all cabins are individually owned, the amenities are subject to change at any time, without prior notification. Depending on the circumstance, a move to a similar property may be necessary. BBLCR assumes no liability for personal items brought into the cabin that are lost, stolen, or damaged. On rare occasions, cabin investment properties are sold and management responsibilities transferred. Under these, and similar circumstances, reservations may be moved to a similar property. Gas fireplaces are seasonal amenities and may not be available for use during the summer.
PETS AND SMOKING
Our cabins do not allow smoking. Smoking is allowed outside of some cabins, please put your butts in the gravel filled smoke cans provided. Any unauthorized pets in the unit are subject to a $300.00 cleaning fee. There is a $100 pet fee per animal staying in the rental unit.
HOT TUBS
Hot tubs are drained, cleaned, refilled, and chemically sanitized prior to each guest arrival. Because the hot tubs are completely drained and refilled prior to each guest stay, the water may not be warm until the evening of your arrival. There are health risks associated with the use of hot tubs--use with discretion and at your sole responsibility. DO NOT STAND ON THE HOT TUB COVERS, as they will break. There is a $350 replacement charge for Hot Tub covers. Please, when not using the hot tub, leave the cover on so the hot tub will stay warm and debris will stay out. Please shower before using the hot tub because some lotions or makeup mixed with the hot tub chemicals can cause a rash on your skin. BEAVERS BEND LUXURY CABIN RENTAL assumes no responsibility for any assurances associated with hot tub usage.
LOST OR STOLEN ITEMS
BEAVERS BEND LUXURY CABIN RENTAL is not responsible for lost or stolen items. Guest items that are found will be returned to the maintenance office. Items can be returned at the guest's expense.
INCLEMENT WEATHER POLICY
Please be aware of the possible weather and road conditions you may encounter, depending on what time of year you are traveling, as we do not offer refunds due to weather or early departure. During winter months, four-wheel drive or chain-equipped vehicles are highly recommended
PESTS AND ENVIRONMENT
To ensure the best guest experience, we perform regular pest control maintenance on all of our cabins. Because our cabins are located in wooded and mountain areas we cannot guarantee that they will be pest free. We do not offer refunds for pests. Unfortunately Ladybugs are a part of our environment and we are unable to prevent them from occasionally visiting our cabins. If this occurs, please contact customer care and we will do our best to help you.
MINIMUM STAYS
Some seasons will have minimum night requirements depending on availability. Exceptions will be made if nights rented fall between two other reservations and the minimum is not possible. An additional housekeeping fee may be added for reservations with two or less paid nights. Amounts vary depending on the size of the cabin. This type of reservation cannot be booked online, it must be booked by calling our office.
