Guest and Cabin Policies
Welcome to Beaver’s Bend Luxury Cabin Rentals. We want to thank you for being our guest. It is our priority to provide an affordable, safe, enjoyable, and clean experience while staying with us. We strive to make your stay with us an unforgettable memory that you would share with your family and friends and would recommend us to others. Our policies are developed from having many years of experience in cabin management and it is our goal to be fair to the guest and owners of the cabins. We look forward to accommodating you during your stay with us.
The rates are listed on the website under each individual cabin and are based upon the number of guest the cabins can accommodate. We require that you must be 25 years of age to reserve a cabin. The person that is listed on the reservation is solely responsible for any damages or additional charges. Beaver’s Bend Luxury Cabin Rentals is not responsible or liable for minors. Property description and rates are subject to change without notice.
A NON-REFUNDABLE deposit of 20% of the reservation or no less than $100 is required and will be charged when the reservation is made. The deposit will be applied to the remaining balance as a credit. The final payment is processed 14 days prior to your arrival date. If we cannot process the final payment, then your reservation will be cancelled immediately. Deposits are non-refundable with any cancellations.
Forms of Payment
A major credit/Bank card is required to secure your reservation. We accept Visa, Mastercard, American Express, and Discover. A one-time Processing Fee of $20 is applied to reservation. This allows you to make 3 payments towards the total amount of your rental. Another Processing Fee will be added if you go over the 3 payments.
We require a 2-night minimum stay on all reservations except on major holidays such as Spring Break, Memorial Day, 4thof July, Labor Day, Thanksgiving, & Christmas a 3-night minimum stay is required. However, we may allow a 1-night rental between reservations, but you will need to contact us at 580-212-0910.
Check-in is at 4:00 p.m. Check-out is at 11:00 a.m.
Due to our high standards of cleanliness, cabins may not be ready for check-in promptly at 4:00 p.m. We ask for your patience if this occurs. We have schedules to adhere to and will strive with heavy efforts to maintain them on time. Entry to the cabin is not permitted until the cleaning staff has finished and left the property.
A fee of $25 per hour will apply if you are to request for an early check-in or check-out. Full room rates will apply if check-out is after 4 p.m. Requests must be made by contacting the office at 580-212-0910.
We provide each cabin with free internet; however, we are not responsible for any issues with the wi-fi, delays, or outages of the internet service not working properly. We will do everything we can by contacting the internet service provider as soon as a problem should arise. Since the cabins are located in a remote area the signal will sometimes vary. Use of the internet is not to be provided for any obscene or inappropriate behavior.
Loss of electricity during your stay could possibly happen. This is completely out of our control. We ask that you be patient if or when this occurs. In your cabin book is the number to call Choctaw Electric to report any outages.
Any of the above issues or outages is not a reason for refunds and Beaver’s Bend Luxury Cabin Rentals will not be held responsible.
All cabins are NON-SMOKING! Any evidence of smoking in the cabins will incur a $200 charge to the card provided on file. You are allowed to smoke outside the cabins. We do provide each cabin with a cigarette butt pail, so please do not throw your cigarette butts on the ground. If there are any butts on the ground a fee will be charged to the card provided on file.
All the pet friendly cabins can be found under the pet friendly cabins tab on the website. There will also be a dog icon on the pic of the approved cabins. A maximum of two 25 lb. pets are allowed in the pet friendly cabins. There is a pet fee of $50 per pet that will be added to the reservation charges. Indicate on your reservation in the guest notes if you are planning on bringing your pet or there will be an additional charge. Please brush and de-flea your pet before arrival. Pets must be crated at night and while you are away from the cabin. Pets are not allowed on furniture or in the beds. Any damages or extra cleaning charges incurred due to your pets will be charged to the card provided on file.
There will be a $250 Fine for bringing your pet into a non-pet friendly cabin. NO EXCEPTIONS
There is a quiet time of 11:00 p.m. on every cabin. We want you to have fun and make the most of your visit, but we ask that you be respectful of other guest that may be in close proximity of your cabin. Absolutely no firearms are allowed on property.
Fireworks are 100% prohibited at the cabins. Due to the environment of the wooded areas it is a fire hazard to allow such activity at the cabins.
Violations of these policies will result in guest being removed from the property without any refund of reservation fees.
There is a onetime cleaning fee per cabin that pays for the indoor and outdoor cleaning of each cabin after your departure. Each cabin cleaning fee can be found on the website underneath the pictures.
You will be responsible for the cleaning during your stay and for leaving the cabin in good condition at checkout. Upon your departure, we require you to load the dishwasher and start it, gather up all the dirty towels and start a load, bag all trash and place in the outside trash cans, adjust the thermostats accordingly (55 in winter; 85 in summer), and lock and make sure cabin is secure by placing keys (if applicable) back in the key box outside. Please keep in mind that you are staying in privately owned cabins, so please treat it as you would want someone to treat you home.
If accommodations are left messy (such as unwashed dishes, stains on furniture or carpets, or trash left) then an additional cleaning fee will be charged to the card provided on file.
The cabins are inventoried and all furnishings indoors and outdoors are checked for damages before you arrive. Any damages or items found missing or broken after your departure will be charged accordingly to the card provided on file.
Linens and bath towels are provided for you. Do not remove towels from the property. We suggest that you bring beach towels for any water activities. Any lost or damaged linens will be charged to your card provided on file at the rate of:

King Sheets $80 Queen Sheets $70 Full Sheets $60
Twin Sheets $50 Pillows $25 Comforters (Replacement cost)
We do have critters that roam the areas that like to rummage, so we are asking that when you put your trash in the outside cans make sure that the lids are secure.
Damages/Missing or Left Items
Any personal items that are left behind in the cabin will be collected by the cleaning staff and brought to the office. We will then contact you to give you the option of returning the property at your expense or throwing the items away.
Any missing items will be charged for a complete set to the card provided on file at the rate of:
Horse shoes $25 each Pool Table Balls $25 each Pool sticks $15 and up
We will charge a $25 fee to the card provided on file if any furniture is moved and damages are done to the floors. Do not allow children to draw with chalk on the cabin exterior. Do not bring rocks up on the decks of the cabins. The hot tub covers are checked immediately before your check-in and immediately after your check-out. If the cover is broken during your stay, a replacement charge of up to $500 will be charged to the card provided on file. Do not sit, stand, or allow children to play on top of the hot tub covers. Do not allow small children in or near the hot tub. Children must never be left unattended while in the hot tub. Do not put soaps or oils in the hot tub. Do not sit on the beds or furniture in we bathing suits from the hot tub. Hot tubs have chemicals to sanitize that can bleach bedding. Any cost to replace bedding or towels will be charged to the card provided on file. Any extra cleaning fees will be charged to the card provided on file.
The card on file will be charged a 25 service fee for any service calls resulting from any excessive pushing of buttons that puts the hot tub pin economy mode. If you have any issues with the hot tub please contact the office immediately.
Appliances breaking/malfunctioning or plumbing and electrical issues can occur as with any home. If any issues come up, please contact the office immediately at 580-212-0910. Please be patient and understanding. We as the Management company will do our best by contacting the right service company to remedy the situation during your stay.
Beaver’s Bend Luxury Cabin Rentals is not responsible for the inconvenience or the arrival of these service people and will not refund any revenue due to these circumstances arising.
Do not unhook or disconnect any electronic device for video games or any other devices. There are HDMI slots that video games or any other devices can be connected to. Our cleaners check all electronics before you arrive to ensure that they are in working order. If a service call is needed for tampering with the electronics, then we will charge the card provided on file a $75 fee.
If you are needing to change cabins or dates, this must be done prior to the 14th day of arrival. We allow you to make 3 changes to your reservation before a $25 Reservation Change Fee is applied to your reservation.
You may cancel your reservation up until the 14th calendar day prior to your arrival date. You will need to call the office @ 580-212-0910 and send us an email to [email protected] with your name, cabin name, and the date of your reservation. The deposit that was charged to the card your provided on your reservation is NON-REFUNDABLE with any cancellation. If you are within the 14 days of arrival then the reservation fees are non-refundable. NO EXCEPTIONS.
We are not responsible for inclement weather, high water, or any other situations that occur in Beaver’s Bend State Park, Beaver’s Bend Marina, or surrounding areas near your cabin. These are separate entities and is not a valid reason for cancellations. We offer rental accommodations and are only responsible for our properties.
Beaver’s Bend Luxury Cabin Rentals does not share your information, phone number, address, or email with any 3rdparty, including owners of the rental property, marketing or advertising firms, or email lists. Your reservation information is kept private between the guest and Beaver’s Bend Luxury Cabin Rentals, LLC.
It is expressly understood and agreed that Beaver’s Bend Luxury Cabin Rentals and owner of said premises, shall not be liable for any damages or injuries to guest, guest’s guests or their family or to their family’s or guest property from whatever cause arising from occupancy of said premises by guest and family of guests. It is further understood and agreed that Beaver’s Bend Luxury Cabin Rentals and owner or owner’s agent to mail or ship property back to guest at guest sole expense.
